The Office Manager will oversee the administrative duties of Acieta to ensure the office and equipment are running smoothly. This position will represent the company in a professional and organizational manner. The Office Manager will serve as the first point of contact with Acieta visitors in a professional manner while performing a variety of administrative duties.

Essential Functions:

  • Oversee the guest experience and ensure a personal, friendly experience for anyone coming into the office and during their visit.
  • Exhibits polite and professional communication via phone, email, and mail.
  • Answer telephone and give information to callers or route call to appropriate person.   Forward callers to voicemail or take a message when an employee is unavailable.
  • Maintain office efficiency by maintaining appearance of common areas, organizing procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment.
  • Provide direct administrative support as needed, including scheduling appointments, meeting, and events, booking travel, maintaining a filing system, sorting mail, ordering supplies, updating contact database and employee list and coordinating food deliveries as needed.
  • Ensures uninterrupted operations of office equipment by completing preventative maintenance requirements, calling for service, submitting IT tickets, and evaluating new equipment and techniques. 
  • Assist employees with ordering company shirt orders and company business cards.
  • Create and maintain name plates for all cubicles and mailboxes.
  • Update and create project planning boards.
  • Encourage employee involvement by updating and maintaining office boards, televisions, and employee newsletters monthly.
  • Other duties as assigned.

 

Education, Experience, Skills, and Physical Requirements:

  • Education and/or Experience: 
    • HS diploma or equivalent with 2 to 4 years related administrative experience, education and/or training. 
    • Intermediate knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint); intermediate knowledge of MS Access a plus.
    • Adobe Creative Suite knowledge a plus
  • Language Skills: 
    • Ability to read and comprehend simple instructions, short correspondence and memos.
    • Ability to write simple correspondence. 
    • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Reasoning Ability: 
    • Ability to understand and to carry out instructions furnished in written, oral, or diagram form. 
    • Ability to deal with problems involving several concrete variables in standardized situations.
